Description:A large and well known Tech company is looking for an Executive Assistant to join their marketing team! This role with be a hybrid role with partially remote work and partially onsite. Candidates must be local to the Greater Seattle Area. Previous experience in the Tech Industry is preferred!This team is looking for an Administrator to support our Brand Marketing GM and overall Brand Marketing Team. This position will require initiative, good judgment, the ability to set priorities and handle multiple tasks simultaneously. Highly motivated individuals who are diligent and passionate about quality customer service are encouraged to apply.The ideal candidate will be positive, proactive, detail oriented and have an open mindset. He/she/they will have excellent organizational and planning skills, time management, and effective written/verbal skills. This person will demonstrate drive and initiative as well as the ability to adapt to changing circumstances. It is very important that this person is resourceful and able to solve routine problems effectively, as well as prioritize their own work and to complete projects on time. The team is looking for someone who can work successfully in a team environment, build effective working relationships, and accommodate working styles and perspectives of diverse individuals. This role will require data management by using the advanced features of Microsoft products/tools. This role will be expected to develop a deep knowledge of the overall business group strategy, and act as an information resource to the business group. They will have the ability to anticipate and remove administrative roadblocks and make timely decisions across the business group. Skills: All qualifications of an Admin Assistant, plus 3-5 years executive support. Writing skills: ability to draft emails on behalf of high-level managers intended for executive level managers. Must be very organized, with a strong ability to multi-task as well as be a strong communicator. Core Responsibilities:Support of manager - GM, Marketing Communications* Calendar management including understanding priorities and flagging deadlines* Manages logistics for meetings including coordinating with high level VP EAs* Correspond with internal and external partners in a timely and professional manner* Update and keep track of calendar weeks ahead of time* Manage travel including, but not limited to: flight, hotel, car service, offsite meetings and dinner reservations - as appropriate* Expense report reconciliation and managementExternal Staff Management:* Manage 250+ external staff* Update external staff report monthly* Track all external staff rolling into team to ensure all attributes are correctly aligned* Work with key stakeholders to approve all external staff requests* Open all requests for external staff* Keep track of who is sitting onsite in vendor space* Track credentials as they are provided to external staffPurchase Order management* Review SOW + open and track PO* Provide guidance as needed* Troubleshoot all PO related issues or blockers as they come up for the teamGroup Support* Contribute to vendor onboarding experience * Orders supplies (office and technical) for team * Point of contact for all Integrated Marketing needs* Assist with logistics for team meetings. Includes, but not limited to booking conference rooms, ordering and delivering/setting up lunches for meetingsSkills:administrative assistance, calendaring, Microsoft office suiteAdditional Skills & Qualifications:No degree required.
